How to add employees (aka people or personnel) into the ER Assist portal






Whether you are adding employees so they become users of the software, assigning “usual operators” to your equipment inventory, tracking operational or administrative time, or just need to enter employees for Project Wizard/Force Account Labor/Equipment Purposes; the usual first step is adding employees to our software.   


Both Government Agencies (aka Applicants) and For Profit Companies (aka Contractors)  can have personnel.  


The system refers to people as personnel.   Personnel are employees, volunteers, or 1099 independent contractors.  Users, a subset of personnel, “use” the software.  


Time Admins are Software Users with higher permission levels.  Time Admins can add personnel and other users.   Time Admins can give other users Admin Access.  Users can not add personnel or other users.  



You can enter employees (users) one by one using the “Add Employee” tab, but most organizations use the bulk import tool.   


Login

  1. Go to www.portal.erassist.com

  2. Enter your Username and Password 


    • If you do not have a username, request one from your system admin

    • If you can not remember your password, press the “forgot password” link and a password reset will be sent to your email on file. For instructions on how to reset your password, visit this link http://www.erassist.com/help-support

Adding Personnel 

3. On the left hand side of the screen, select Personnel. 

 


  1. In the personnel module there are two options to enter personnel;

    • Enter each employee separately using the +Add New Button (if you are using this method, continue below), or

    • Enter multiple employees at once-- by “importing” a spreadsheet of information (if you are using this method, jump ahead to import) 


Add New 

To add new personnel, click the “Add New” button located in the top left hand corner of the personnel module. 



This will open up a personnel info form for new personnel. Fill any and all fields for which you have the information. The only required fields are “First Name” and “Last Name” (Indicated by the *).

Once you have entered all pertinent data, click SAVE, SAVE and CLOSE, or SAVE and ADD ANOTHER 

 

Web Access

If Web Access is checked you have to provide an email. With this email we send you reset password information (if needed), an initial invite to login, system communication, ect. You must have an email connected to have a username. 

Import

If you have multiple personnel to input into the module, you have the option of importing them all at once. Click the “Import” button located in the top right corner of the personnel module.


After clicking import, click “Personnel Upload Template” and follow the “steps to uploading personnel” instructions located below the Import button. 


Excel

You can export all personnel data into an excel document buyclicking the excel button. 









Module Access

By clicking module access you can turn on and off certain modules you want to be displayed. You can also open modules from this window

 


Manage Contractor Access

When clicking manage contractor access you can:

  • Add new contractor from the drop down menu.

  • Turn access on/off (if turned off, the contractor will no longer have access to the client/employer).

  • Turn admin users on/off (if turned off, employee can no longer access admin activities).

  • Remove contractors.

 


How to edit an existing personnel entry 

If you want to edit an existing personnel entry click the pencil icon located under edit. 

After clicking the pencil, the personnel info form will be displayed and you can add/edit existing information. 


Adding personnel rates

To add a new personnel rate click add.


Begin Date, position, rate, OT rate, fringe percentage and OT fringe Percentage are required fields. Once you have finished adding information, click save and add another or save and close.


Once you have finished adding personnel rates you will need to scroll to the bottom of the personnel info page (labeled “Form” at the top) and click save and add another, save and continue or save. If you need to reset your password there is also a reset password button. Once you have saved your work you can go back to the personnel module by clicking the back arrow on your browser or once you’ve saved your work, you can click cancel and go back.
